What goes where

Anatomy of an NZ invoice

  1. 1Your name or trading name. Always.
  2. 2Your GST number. Over $200, if you're GST-registered.
  3. 3The date. Always.
  4. 4The buyer's name plus one identifier (address, phone, email, NZBN or website). Over $1,000, when the buyer is GST-registered.
  5. 5What you did or sold. Always.
  6. 6GST shown as excl. + GST + incl., or the incl. total with a note that GST is included. Over $200.
  7. 7How to pay you. Not an IRD rule, but it's how you get paid faster.

Questions

Do I need to write "Tax invoice" at the top?

No. IRD's current rules don't require the words "tax invoice". "Invoice" is fine, as long as the right details are on it.

I'm not GST-registered. Which one do I use?

The non-GST template. Don't show GST or a GST number unless you're registered. See non-GST invoices in NZ.

How should I number my invoices?

Give every invoice its own number, ideally in a running sequence. Our free invoice number generator remembers where you're up to, with your own prefix and categories.
